How to integrate Thomas with Teamtailor

Integrating your Teamtailor account with Thomas' assessments platform will streamline your recruitment process.

 
Setting up your account:
  1. Ensure that you have a Thomas Assess account. If you do not have one, contact your customer success manager to set up an account for your Teamtailor integration.
  2. After activating your Assess account, request a Teamtailor integration from your customer success manager. An API key will be generated and sent to you via email.
  3. Make sure to create the necessary job role on your Assess account before assigning the assessments in Teamtailor.
 
Creating jobs on Teamtailor:
  1. Once the job role has been created on Assess, sign in to your Teamtailor account.
  2. Navigate to the "Account Name" dropdown menu in the top-right corner of your page and select "Marketplace".
  3. Select "Thomas Assess".
  4. Add your Thomas Assess account and API key. If the account is already added, click on "Go to settings" in the lower left corner and update the API key with the one provided by your customer success manager. 
    Please note: You may see a 'default key' here; simply replace it with the key from Thomas.
  5. Navigate back to the Jobs page and select the "+" option on the right-hand side.
  6. Under "Standard job", select "Use default template". It may be helpful to match the title with the job role created on Assess.
  7. Proceed with the rest of the job creation process.
     
  8. At the Stages section, click on "Add stages" and select "Assessment".
  9. Select the "Stage type" to specify when you would like the Thomas assessments to be administered (e.g., during screening, interview, or offer).
  10. Select "Add stage" to complete the process.
  11. After adding the stage, you can adjust its position by dragging it in the menu to your desired location.
  12. Complete the remaining information for the job role, then select "Publish".
 
Add triggers to your job:
  1. After publishing the job, go to Applications in the upper left corner.
  2. Select "Trigger" on the right-hand side to add the assessments.
  3. In the Assessment stage, select "Add trigger". Click on "Send assessment - Thomas Assess" at the bottom of the page.
  4. Select the job role that you have created on Assess.
  5. There is an option to activate an auto-progression feature. To enable this, select "Move candidate when complete." This ensures that candidates automatically move to the next stage once they have completed their assessments. 
    To ensure that the correct candidates are filtered, specify whether candidates should progress based on specific score thresholds. Alternatively, you can choose not to activate this feature and manually move candidates to the next stage when they finish their assessments.
  6. After creating the trigger, candidates may apply or be added to the job role.
  7. Assessments can be sent by dragging them or manually adding them to the Assessment stage.
  8. The candidate will receive an email prompting them to complete the assessments.
 
Viewing your candidate's results:
  1. After the candidate completes the assessments, you will receive a notification on Teamtailor. If you have activated the auto progression feature, successful candidates will automatically move to the next stage.
  2. Hover over the circular icon underneath the candidate's name to view their score.
  3. For a more detailed breakdown of their results, click on the candidate's name, scroll down to the Thomas Assess section, and select "View details".
  4. You will be able to view the overall score, a pin to access the full report, and a rating score out of 5 for the assessments related to the job role.
  5. To view their full report, copy the pin from the "View details" section and select "Close".
  6. Follow the link below the percentage visual to be redirected to a new page where you can enter the candidate’s unique pin.
  7. View and download detailed results along with interview guide questions for that candidate.
